A practical checklist for updating your seasonal catalog
Work through products, buyer agreements, photos and saved versions before sending the next wholesale collection.
Last updated
A seasonal update is a useful moment to check the product data and the customer agreements behind your PDF. Work in a deliberate order: shared product facts first, buyer rules second and the final saved catalog last.
Prepare a clean source file
- Keep the existing SKU for products that remain in the range.
- Add new products with unique text SKUs and an explicit base price.
- Update descriptions, case packs and minimum quantities from your own business records.
- Collect the matching images and remove accidental duplicate filenames.
Review the import before confirming
Compare the new spreadsheet with the current library. Review price changes separately from new products and photo changes. A missing row may mean a product is discontinued, or it may mean that the spreadsheet only contains a seasonal subset. Keep missing products unless you deliberately choose to archive them.
Check customer agreements
A base-price change affects a discounted product but does not replace a fixed buyer price. In the fictional sample, raising SKU 00124 from $8.00 to $8.50 moves Maple’s discounted price from $7.20 to $7.65. Harbor’s fixed $6.80 remains unchanged. Check the equivalent agreements in your own range.
Review representative pages
- Open the first page, a full middle page and the final page.
- Find the longest name and description.
- Check products that have new photos or missing optional fields.
- Check customer name, currency, collection name and paper size.
Save and export a new customer version
Save the updated catalog before starting the export. Track the job in the queue and download the result when it is ready. For multiple customers, a batch produces separate buyer files rather than combining their price lists.
Keep the earlier version
Retain the prior saved snapshot so that a later query can be matched to the file that buyer received. Do not assume that changing the current library changes a previously exported PDF. Review your own retention needs and the service’s published policy before relying on long-term storage.
Put the guide into practice.
Explore the fictional collection, check buyer prices and see how the layouts handle the same product data.
